The NEXpbx Fax Portal replaces the fax machine, the shared inbox, and the folder full of scanned PDFs. It runs in the browser on desktop and mobile—there's nothing to install and nothing to keep updated.

Individual accounts
Every person gets their own account, invited by email and secured with their own password. Fax activity is attributable to a person, not to "the front desk."
Two-factor on every account
Two-factor authentication is standard, not optional. An emailed code is the default, and any user can switch to an authenticator app for a stronger second factor.
Per-line permissions
Users see only the fax lines they've been granted. A practice running a billing line and a clinical line can keep them genuinely separate—not separate by convention.
You manage your own users
Your administrators invite staff, disable departing employees, and adjust permissions themselves. No support ticket, no waiting on us to remove access.
13 months of history
Every fax sent and received stays searchable for 13 months, so last year's request is still there when someone asks for it.

Pick the line, enter the number, attach your PDF, send. Multiple files merge into a single fax, up to 20 MB per send.
Cover pages, generated
Recipient, sender, subject, message, urgent flag, and a standard confidentiality notice—built automatically instead of retyped every time.
Appearance pre-check
Before it goes out, the portal inspects your document for color and photographic content that a fax's black-and-white rendering will degrade, and warns you. It's advisory—it never blocks a send—but it catches the unreadable fax before the recipient does.
Duplicate-send guard
Same number, same document, moments apart? You get a confirmation prompt instead of two identical faxes landing at the other end.
One-click resend
A failed fax can be resent with the original document in one click. The failure and its successful retry collapse into a single entry, so your history doesn't show a contradictory Failed and Delivered pair for the same fax.
Drafts and address book
Save a part-composed fax and finish it later. A shared address book spans every line a user can see, and you can reply directly to a fax you've received.
New Print to Fax
Add the fax as a printer on Windows 10, Windows 11, or macOS and send from any application that can print—including your EHR or practice management system. It uses the operating system's built-in printing standard, so there's no client software and no special driver to maintain.
Printing doesn't fire the fax off blind. The job lands in that person's Drafts folder in the portal, where they add a cover page, confirm the number, and send—so a mis-picked printer never becomes a misdirected fax.
Each printer connection identifies a single user, and your administrators can issue or revoke one at any time from the portal.

AI summaries on arrival
Each inbound fax is summarized on arrival: sender, subject, and the gist of page one. A morning stack of referrals becomes sortable at a glance.
Email alerts, safely
Get notified per line, per person. By default the alert links back to the portal rather than attaching the document—for anything containing patient information, keeping the PDF inside the portal instead of scattered across email inboxes is the safer posture. Attached-PDF alerts are available where that fits your workflow.
Automatic delivery to your EHR
Fax Connect brings inbound faxes down to your practice automatically, archiving and tagging each one in the portal as it goes. Live page meters
Month-to-date usage for every line, measured against that line's allowance, with a daily volume chart and month-by-month history.
Month-end projection
The portal tells you what you're on pace for, and if a line is heading past its allowance it names the day that would happen and the plan that would cover it.
Pauses, never overbills
A line that reaches its allowance pauses instead of running up per-page charges. It resumes automatically at the start of the next month, or immediately if you move up a plan.
